- Introduction
1.1 These Terms govern all retreats (“Retreats”) organised by Irini’s Kitchen Limited and any contributing professionals who co-lead or deliver services.
1.2 These Terms, our Privacy Policy (available at www.irinicooks.com), the dedicated Retreat webpage in force at the time of booking and the booking form collectively form the entire Agreement and replace any prior understandings or representations.
- Retreat Description
2.1 Each Retreat is described on its dedicated webpage as published at www.irinicooks.com at the time of booking.
2.2 Retreats take place at the venue(s) described on that webpage (“Retreat Venue/s”).
2.3 The Retreat fee (“Fee”) is as stated on the dedicated Retreat webpage or confirmed at booking.
2.4 Activities and inclusions are set out on the dedicated Retreat webpage.
2.5 The Fee includes only what is expressly stated on the dedicated Retreat webpage.
2.6 All services are delivered with reasonable care and skill. Retreats are group experiences and information provided is intended for group benefit rather than individual advice.
2.7 We reserve the right to make reasonable amendments to the itinerary where necessary due to seasonal availability, operational requirements or circumstances beyond our control, provided the overall quality and character of the Retreat is maintained.
2.8 Substitution of Venues, Contributors and Experiences
Where necessary due to illness, availability, venue issues, weather conditions, operational requirements or force majeure, we reserve the right to substitute venues, named contributors, accommodation, restaurants, activities or programme elements with alternatives of comparable standard and quality.
Such substitutions shall not constitute a material change and shall not give rise to a right of cancellation or compensation, provided the overall integrity and value of the Retreat is preserved.
- Booking and Payment
3.1 A completed booking form and a non-refundable deposit equal to 25% of the Fee are required to secure a place (unless otherwise stated).
3.2 If booking for others (all of whom must be aged 18+), each Guest must complete and sign their own booking form.
3.3 For bookings made within 8 weeks of the Retreat start date, full payment is required.
3.4 Submission of a booking form and deposit does not guarantee acceptance. A contract is formed only when we issue written confirmation of acceptance.
3.5 We reserve the right to decline participation where, in our reasonable opinion, the Retreat environment is not suitable for a Guest’s health, mobility or wellbeing needs, or where participation may adversely affect group safety or experience. In such cases, any payment received will be refunded in full.
3.6 The remaining balance must be paid no later than 8 weeks prior to the Retreat start date. Failure to pay by the due date may result in cancellation of your booking and forfeiture of monies paid.
3.7 Deposits are non-refundable except where the Retreat is cancelled by us under Clause 10.
3.8 Where an instalment plan is agreed, failure to make payments on agreed dates may result in withdrawal of the instalment arrangement and immediate demand for the outstanding balance. If payment is not made, the booking may be cancelled and payments made forfeited.
3.9 Cancellation by Guest
If you cancel your booking at any time and for any reason, you remain liable for the full Fee. However, you may nominate a replacement Guest to take your place, subject to our written approval. If approved and the replacement completes the booking and payment process, you will be released from further liability.
3.10 The Fee is non-refundable except where the Retreat is cancelled by us under Clause 10.
- Your Obligations
4.1 You are responsible for ensuring you are fit to travel and participate.
4.2 You must arrange adequate travel insurance covering cancellation, medical treatment and personal liability.
4.3 You agree to act safely and in accordance with our instructions and the venue’s rules.
4.4 The Agreement is personal to you and may not be transferred without our written consent.
4.5 You warrant that all information provided in your booking form is accurate and complete. Failure to disclose relevant health, mobility or behavioural information may result in termination without refund.
- Behaviour and Respect for Others
5.1 You must behave respectfully towards all Guests, staff and contributors.
5.2 You must not act in a way that causes distress, offence or disruption.
5.3 If, in our reasonable opinion, your behaviour breaches this clause, we may withdraw your participation and ask you to leave without refund.
- Health, Wellbeing and Substance Use
6.1 You must disclose at booking any physical, medical, psychological or mobility condition that may affect safe participation.
6.2 You confirm you are physically and mentally fit to participate in activities which may include walking on uneven terrain, stairs, prolonged standing and travel days.
6.3 The Retreat is not suitable for individuals requiring continuous medical supervision or specialist care.
6.4 We reserve the right to decline or terminate participation where safety concerns arise.
6.5 If participation is terminated due to undisclosed conditions or behaviour affecting group wellbeing, no refund will be given.
6.6 Illegal drugs are strictly prohibited. Excessive alcohol consumption may result in removal without refund.
- Retreat Venue and Accommodation
7.1 Guests must treat accommodation and property with respect and are liable for damage caused.
7.2 Accommodation is provided as stated on the dedicated Retreat webpage. Room allocation is at our discretion unless otherwise agreed.
- Additional Costs
8.1 The Fee includes accommodation and services stated on the dedicated Retreat webpage.
8.2 Flights, travel to and from the Retreat, insurance and personal expenses are not included unless expressly stated.
8.3 Optional services or additional experiences incur separate fees.
- Complaints
9.1 Any concerns must be raised promptly during the Retreat to allow reasonable opportunity for resolution.
9.2 You must allow us reasonable time to address concerns before initiating chargebacks or disputes.
- Amendments and Cancellations by Us
10.1 We may cancel or amend a Retreat where:
- Minimum participant numbers are not reached (we reserve the right to cancel up to 8 weeks before the start date in such cases);
- A venue becomes unavailable and suitable alternatives cannot reasonably be arranged;
- Government restrictions or force majeure make the Retreat impossible or impracticable.
10.2 If we cancel the Retreat, we will offer either:
(a) transfer to an alternative date;
(b) credit towards a future retreat; or
(c) refund of monies paid, subject to Clause 13.
- Confidentiality
Guests must respect the confidentiality of personal information shared during the Retreat.
- Intellectual Property and Data Protection
All materials remain our intellectual property or that of contributors and may not be reproduced without consent.
Personal data is processed in accordance with data protection laws and our Privacy Policy.
- Force Majeure
13.1 We are not liable for failure to perform our obligations due to events beyond our reasonable control, including but not limited to natural disaster, flood, fire, pandemic, government restriction, strike, war, terrorism or serious illness.
13.2 If the Retreat cannot proceed due to force majeure, we will offer:
(a) transfer to a rescheduled date;
(b) credit towards a future retreat; or
(c) refund of monies paid less any non-recoverable costs already incurred on your behalf.
13.3 Non-recoverable costs may include accommodation deposits, supplier fees and pre-paid services which cannot be reclaimed.
- Liability
14.1 We act as organiser of the Retreat. Accommodation providers, transport operators, restaurants and activity hosts are independent third parties.
14.2 Nothing in these Terms excludes liability for death or personal injury caused by our proven negligence.
14.3 Subject to 14.2, our total liability is limited to the amount of the Retreat Fee paid.
14.4 You agree to indemnify us against losses arising from your breach of these Terms.
- General
15.1 These Terms are governed by the laws of England and Wales.
15.2 Notices must be sent to info@irinicooks.com.
15.3 If any clause is invalid, the remainder remains enforceable.
15.4 The version of these Terms in force at the time of booking shall apply.
15.5 By booking, you confirm that you have read, understood and accepted these Terms.
